OTS Rules and Regulations
To maintain a clean environment in the chair massage area :
1. Spray a cloth and wipe down the chair after each customer.
2. Use a little hand sanitizer before each customer.
3. Keep clutter to a minimum. Use the cabinets for storage.
4. Leave the massage table clear and ready to use ( S. Mateo )
5. Throw trash at the end of your shift. ( You can recycle paper at Whole
foods
at customer service or the coffee bar in the green trash can. )
6. Mat/Rug cleaning apparatus at Whole Foods to be used periodically.
I also ask that to conserve resources we attempt to reuse the paper towels used with the customer as their face cover. After the treatment fold the cloth in on itself to expose the clean underlying surface and use this to spray and then wipe the chair down. This allows the paper towel to have a second use before being discarded.
The following is to be displayed on cabinet during hours :
1. The schedule.
2. The brochures.
3. The card holder.
4. The sign in sheet.
5. The clip / ear plug holder
6. The hand sanitizer.
The best time to use the hand sanitizer is when the customer signs in and/or you are asking questions of where it hurts the most, what kind of pressure do they prefer, etc. This is why I think it is best to keep the hand sanitizer on the counter to help remind us all.
There is also a sound machine to use during the quieter times and ear plugs for the louder parts of the day. Especially useful at Whole Foods.
Closing Procedures :
1. Put supplies in cabinet.
2. Put away sign in sheet and clip holder in cabinet
3. Take sign down & put away in cabinet. ( Whole Foods only )
4. Lock and place cabinet and chair in secure area ( See cabinet for diagram
of secure location - WF and Menaul locations )
5. Leave out the schedule, brochures, card holder, clock, and sound machine.
The sign in sheet must be filled out properly at
the beginning and as well as the duration of the shift:
The sign up sheet needs to be filled with your name, shift, and date at
the beginning of the shift. On the shift area some have put a M / E or a
I / II. Either of these options is fine. For the date if you would put the
day and the suspected number since I know it is at times hard to recall
the exact date.
The part the customer fills out is in red. If they just sit right down passing the sign up sheet you can simply give them the pad to fill out. This will be required as you will need to fill in the begin time before you start working on the client.
The tally is for you to figure out your percentage and is not necessary until the end of a shift. With the rates changed back to a dollar per minute the percentage is as follows: $1 for 5 min, $2 for 10 min, $3 for 15 min, $4 for 20 min, and $5 for 30 minutes. Add this to determine your percentage. Put payment with the sign up sheet folded with a paper clip and put into the cabinet.
My apologies for some of these requirements but some evidence has shown these measures are necessary.
OTS Programs and payment arrangement:
There is an Employee Appreciation Program where the employees each receive one 10 minute massage per month. For this OTS will pay you $5 for each employee you work on. Simply have them fill out the separate sign up sheet, located in the binder, then put this reference number on the sign up sheet next to their name. Upon completion of the shift place EMP in the tally box.
The change to occur is you will now put either EMP or GC in the
tally area to indicate whether it was an employee or a gift certificate.
Gift Certificates are for 15 and 30 minute increments.
So for a 30 minute gift certificate you will put GC-30 in the tally box.
And GC-!5 for a 15 minute treatment.
Both Employee and Gift Certificates will be added and paid monthly to each therapist. The payments are as follows: Emp - $5 , GC-15 - $12, GC-30 - $20.
I will keep the sign up sheets from a month to month basis to use for any verification needed but I will recycle the sheets afterwards.
Gift Certificates will be available and with the following guidelines:

Underneath the purchase date on the GC it says good for 4 months. Cross out the 4 and write a 12. Let them know it's good for 1 year.
To help make the gift certificate program work we can let our customers know that we may have to help another person with a gift certificate during their treatment. It should just take a minute or two. And you can also tell them when this happens that you will add an extra few minutes to their treatment.
Gift Certificates should be located and left in the cabinet. The cabinet needs to be locked anytime you leave the massage area. If you find no more certificates upon start of the shift call or text me immediately for replacements.
Substitutions or filling in for sick days :
As for finding someone to fill-in for your shift(s) those duties will now be consolidated into a hopefully more streamlined approach. Due to previous problems with unverified therapists and also a lack of accountability there is no longer the need of a substitute list. Now you simply have to call one person with your shift(s) to fill. I simply ask that you let me know as soon as you can. 271-0381 or 353-0569 cell.
Running Late Guidelines :
With the new online appointments system and with some problems that have arisen lately there will be a change with a 10 minute window as the only allowance for tardiness. The store must still be contacted by you to inform them of your tardiness.OTS must be contacted for anything that looks like it may be more than 10 minutes. Excessive tardiness will not be accepted.

Again my apologies for some of these requirements but I am happy to say
it is due to the exception more than the rule.
